Reopen accidentally closed work order?

Hey — one of my techs accidentally closed a job this morning that wasn't actually done. Customer still needs us back out there this afternoon. I don't see an obvious "reopen" button — is there a way to undo this without creating a whole new work order? Don't want to lose the notes and photos already in there.

Running against a tight schedule so quick help appreciated!

  • Happy to help, Teresa!

Yes — you can reopen a closed work order. Here's how:

    1. Go to Work Orders in the main navigation
    2. Find the closed work order (filter by status Closed if needed)
    3. Open the work order and click the Actions dropdown in the top right
    4. Select Reopen Work Order

The status will change back to Scheduled or In Progress (you'll choose which). All notes, photos, and history stay intact — nothing is lost.

One thing to note: if the job was already invoiced through QuickBooks, reopening won't automatically reverse the invoice. You'll need to handle that separately.

Hope that gets you sorted for the afternoon appointment!

  • Pro tip: if this happens a lot with your team, might be worth checking your Work Order Status Change permissions. You can restrict which roles can move jobs to Closed — saves this headache downstream.

Also worth noting that reopened jobs show a status history entry, so if anyone's tracking cycle times or SLAs, that closure/reopen pair will be visible in reporting.

  • Worked perfectly — thank you! Didn't realize it was under Actions dropdown, was looking for a button on the main screen.

  • ^ this. had the same issue last year. locked down Close status to supervisors only and my accidental closure rate dropped to basically zero.
